The type of personal information we collect.

We currently collect and process the following information:


•    Your name, home address, email address and phone number.


•    Financial information such as bank address, account number, sort code and account name.


•    Ring camera footage, installed on the outside of the door to each apartment.

How we obtain your personal information and how we use it.

The information we process is provided to us either directly by you when you request a booking or via Booking.com or Airbnb, or other booking portal.  Camera footage is obtained from a Ring camera installed on the outside of the front door to each apartment.
 

Under the UK General Data Protection Regulations, the lawful bases we rely on for processing this information are as follows:
 

•    To allow us to provide our services to you namely the provision of accommodation.


•    To allow us to perform our contractual obligations to you.


•    To keep you and our property safe and secure.


•    Financial information is required for billing purposes and to process bookings.


•    For marketing and business development purposes.  However, we do not pass on personal information to third parties for marketing purposes or third-party advertising.


•    We may share your information such as your name and contact phone number with contractors undertaking work upon the properties from time to time, should the need arise, for access purposes only.  You will be notified of this at the time should this be necessary.


•    For all other purposes consistent with the proper performance of our operations and business.

Consent

You are able to remove your consent at any time.

However, if you remove your consent to camera footage, then we reserve our right to reject/cancel your booking.

Transfers outside the UK and Europe

Your information will only be stored within the UK and EEA.

Your data protection rights

Right of Access – you have the right to ask us for copies of your personal information.
 

Right to Rectification – You have the right to ask us to rectify personal information you think is inaccurate or incomplete.
 

Right to Erasure – You have the right to ask us to erase your personal information in certain circumstances.
 

Right to Restriction of processing – You have the right to restrict the processing of your personal information in certain circumstances.
 

Right to Object to processing – You have the right to object to the processing of your personal information in certain circumstances.
 

You are not required to pay any charge for exercising your rights.  If you make a request, we have one month to respond to you.

How we keep your personal information secure

All personal information collected is restricted in our office and only those who need the information to perform a specific job are granted access to personally identifiable information.  The personal information is stored upon one computer which is password protected and backed up onto a hard drive, which is also password protected.
 

All camera footage is stored securely, with access restricted to authorised personnel only.
 

We review our data retention periods regularly and will only hold your personal data for as long as is necessary for the relevant activity, or as required by law (We may be legally required to hold some types of information), or as set out in any relevant contract we have with you. 

 

If you wish to complain about the use of your information, please contact us to resolve this matter initially.
